Automations: let a table run by itself

Click Automations on a table to see everything that runs by itself in one place: sources that refresh on a schedule, and columns that fill in new rows as they arrive. One switch pauses them all. Automations only run while Manycrawl is open.

Open the panel

Click Automations in the table’s toolbar. A green number on the button counts how many automations are on. In the panel, the switch at the top right says On or Paused. Below it you see up to three groups. With nothing set up, the panel says that nothing here runs by itself yet.

Adds rows: auto-refresh a source

For a monitor, you can turn on Auto-refresh and choose how often to look for new items:

Google Maps, Google results and Apollo tables do not appear here. They are one-off searches, so use Scrape more when you want to refresh them. Each new row an auto-refresh adds is one action, and a row you already have is never added twice.

Fills cells: auto-run on new rows

Each enrichment column can run on its own when new rows arrive. It shows as Auto-run · on new rows. You set this in the column’s Automation section with ⚡ Auto-run on new rows.

To cap what it spends, tick Limit auto-runs per day and set a number of rows per day, shared across all auto-run columns on the table. Ticking it starts at 200. With the box off, the panel says “No limit — every ready row is filled”, which spends an action on each new row. Pair auto-run with a run condition so rows that do not qualify are skipped for free.

How it runs

  • Manycrawl checks for due work about every 30 seconds while it is open, and catches up after your computer wakes from sleep.
  • It starts at most two source checks at a time, and spreads the rest over the next checks.
  • When a source fails, Manycrawl waits longer before trying again, up to eight times longer. The log says “backing off”.
  • A status chip on the table shows when it last checked, and when the next check is due.

Pause everything

Switch the panel from On to Paused to stop all of a table’s automations: auto-run, auto-refresh, and watches. It applies to that table. Switch it back on to resume.

At your monthly limit

On the Free and Lite plans, automations stop when you run out of actions. The log says “Monthly action limit reached — paused automations on N table(s). They switch back on by themselves once your quota resets.” When actions are available again, Manycrawl checks about every 15 minutes and resumes the tables it paused: “Monthly actions available again — resumed automations on N table(s).” A table you paused by hand stays paused. See how credits and usage limits work.

Be told about new rows

Under Settings → Notifications, add a webhook address and tick Monitor finds new rows. A monitor can also have its own address in its form, under Notify this monitor to. Notifications are sent only when something new was added.
